Abstract

1.1     Background of the Study

Government and private sectors seek better ways to handle employee’s records against any future challenges, and can have a better chance in making decision that most concern with the development of the organization. Leave management is one of the simplest yet crucial Human Resources (HR) activities that often consume a significant portion of the HR team’s time. HR personnel must ensure compliance with leave policies, guarantee the availability of sufficient staff at all times and also make sure that employee satisfaction is retained at all times (Deskera, 2016). Another most important factor to consider is a good Record Management System (RMS). For any organization to stand and achieve goals they must employ or adopt adequate and reliable information management strategies that will stand the test of time, this will provide them a better chance to make decisions at any given time.

Employee Record System (ERS) most especially leave records must be given an undivided attention or concern in carrying out company’s day-to-day activities as this may lead to various challenges and problems between managements and their staffs. This concept has been a thing of concern for decades as different organization seeks better approaches to alleviate the discrepancies incurred in leave application and record keeping. Different approaches have been approved to thoroughly handle the issues of leave application some of which are the manual system of leave application that provides no good result, in terms of information handling and time management aspects. This research work on Employee Leave Application Portal (ELAP) provides solution that the manual system can’t efficiently handle and not only so, being an online application it makes it quite easy for staffs of the organization to adequately process their leave with little or no assistance. This is so because it incorporates user friendly features that support and facilitate the process. The features be employed includes an intelligent database that is void of data redundancy which protect privacy of users, a good user friendly interface for fast learning, and provision of Admin and employees’ dashboard that provides interesting and interactive features. The overall system will be authenticated to avoid unauthorized entry. These and other features help to achieve this task.

1.2     Statement of the Problem

This research work, Employee Leave Application Portal is embarked to partially or fully eliminate the problems faced in leave management processing at Nairda Company. The current system used in the Company is a manual system with the following problems:

  1. Poor record management
  2. Much work-load in processing leave
  • It takes lengthy time to fully process leave

1.3     Aim and Objectives

This research work is aimed at developing web-based application software for intelligence solutions to employee leave management in Nairda Company.

With the following objectives:

  1. To fully Implement an electronic leave system that keep records of leave application
  2. To implement an online leave application form with a centralized database
  • To design a system that offer flexibility relative to identified information needs. The parameters for parametric model do not change with the increase or decrease in dataset size (training examples/data-points/row level data/m). Parametric models simplify the function to a known form; this makes the model faster. Also, A parametric model is computationally faster meaning they learn fast from data. Therefore the implementation of the model will influence the speed of market survey report
  1. To build a graphical user interface with user friendly and interactive features

1.4     Significance of the Study

The benefits or contributions that will be achieved from this research include:

  • Leave management system that eliminates time wasting
  • An interactive portal that reduce work load of both employee and management

Implementing a medium that is not geographical restricted in communication

  • A centralized information system that enables quick search and access to records at any time
  • This system will get employee acquainted with modern computer technology approach
  • Smooth running of the electronic leave application and less expensive

1.5     Scope of the Study

This system will be focusing on developing an intelligent web-based employee database and leave records system suitable for Nairda Ltd. And the scope of this report is limited to the following modules:

Admin and Employee profile: This system will provide employees details and the admin can modify all details

Electronic leave application records:  enabling the Admin or human resource and individual staffs to apply for leave as well as check their leave status, and view all leave records directly through the system

1.6     Limitations of the Study

The following factors actually contributed to the delay and problems faced during the research and proper implementation of this project:

Time limitation: Time is a major factor in this kind of work. I did not get enough time to do this report to conduct in depth analysis, interview and survey on the company. Corporate executives usually remain very busy. It is difficult to get adequate time from them.

Confidentiality of data: They do not want to share their internal things. It’s difficult to gather primary data due to confidentiality of data.

Resource limitation: There are not enough resources available to prepare an in-depth report

1.7     Definition of Terms

The following terminologies are defined as used in this project to enable easy comprehension:

Organization: Is a place where human groups (workers) team up to achieve a common goal.
